The Role

As a Remote Executive Assistant, you’ll support leadership with day-to-day executive and operational needs while helping keep projects, stakeholders, deadlines, and processes on track.

This is more than a calendar-and-inbox role. We’re looking for someone who can take ownership, follow through, improve processes, and create systems that make work easier and more efficient.

What You’ll Do

Executive & Project Support

Manage inboxes, calendars, meetings, priorities, and executive follow-ups
Coordinate projects, deadlines, deliverables, and communication across stakeholders
Follow up proactively with team members, clients, vendors, and partners until tasks are completed
Prepare dashboards, reports, meeting notes, action items, and status updates
Coordinate Advisory Board meetings, including scheduling, agendas, minutes, and follow-ups

Process Improvement & Documentation

Identify opportunities to improve workflows, systems, and recurring processes
Create and maintain SOPs, workflows, checklists, and process documentation
Help develop practical systems, dashboards, and automation workflows where appropriate
Organize compliance documentation and track regulatory correspondence and deadlines

Communication & Content Support

Handle professional email and phone communication with internal and external stakeholders
Support occasional website updates and social media content creation
Create simple graphics or content using Canva when needed

Requirements

What You’ll Bring

Experience as an Executive Assistant, Virtual Assistant, Administrative Coordinator, or similar role
Strong organizational, project coordination, and follow-through skills
Experience supporting executives, managing multiple priorities, and coordinating stakeholders
A proactive process-improvement mindset with experience creating SOPs or improving workflows
Excellent written and verbal English communication
Strong attention to detail and ability to work independently
Comfortable with Microsoft 365, Excel, Asana, Trello, or similar tools
Familiarity with Canva, social media, or content management tools is a plus
Healthcare, Home Health, IDD, nonprofit, or compliance experience is a plus
