Wholesale Operations Assistant - Freelance, Remote

About the Client Our client is a growing consumer goods brand that sells through both wholesale and e-commerce channels, working with retail buyers as well as direct consumers. The business operates across multiple B2B and B2C platforms as it continues to scale. As operations grow more complex, the Director of Operations needs a specialized administrative assistant who already understands the wholesale side of the business and can plug in immediately across their existing systems. Why does this role exist? This role exists because the business runs on a growing number of interconnected platforms — wholesale ordering, invoicing, and e-commerce — and the current team needs dedicated support to keep orders, invoices, and client records moving accurately and on time. The client is specifically looking for someone with real wholesale industry experience (selling to retailers, not general e-commerce customer service) who can start contributing from day one without extensive ramp-up. This is an operational support role built for someone who can work independently, think critically, and manage multiple moving pieces at once.

The Impact you’ll make

Order Processing Management

• Monitor and process orders across wholesale and retail platforms (Shopify, Faire, Market Time)
• Ensure orders are progressing correctly and flag issues before they become problems

Invoicing

• Generate and manage invoices for clients and vendors using QuickBooks
• Keep invoicing accurate and up to date across accounts

Stock Fulfillment Coordination

• Check stock availability and coordinate with the warehouse to ensure smooth order fulfillment
• Track fulfillment status and follow up on delays or discrepancies

CRM Management Client Follow-Up

• Keep the CRM current and organized
• Track client interactions and follow up proactively as needed

Skills, Knowledge and Expertise

Required:

• Demonstrated understanding of the wholesale business model — selling to retailers/importing merchandise for stores — distinct from general e-commerce or customer service experience
• Hands-on invoicing experience, generating invoices for clients and vendors
• Experience with order processing workflows
• Working knowledge of QuickBooks
• Prior experience in an administrative or operational support role

WFH Set-Up:

• Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
• Internet speed of at least 40MBPS
• Headset with an extended mic that has noise cancellation and a webcam
• Back-up computer and internet connection
• Quiet, dedicated workspace at home
