About the Role
We’re looking for a proactive, detail-oriented Virtual Assistant to support a US-based commercial real estate brokerage team with marketing, research, listing management, and day-to-day administrative tasks.
This role is a great fit for someone who is comfortable working with digital tools, enjoys organizing information, and can use AI tools to work more efficiently while maintaining a high standard of accuracy. You’ll help prepare marketing materials, manage online listings, research properties and market information, organize documents, and support the team with a variety of operational tasks.
You don’t need to come from a real estate background to be successful in this role. We’re open to candidates with experience in virtual assistance, marketing coordination, administrative support, research, data management, or similar roles. What matters most is your ability to learn new tools quickly, use AI thoughtfully, take ownership of tasks, and produce reliable, high-quality work.
Key Responsibilities
1. Marketing & Content Support
Create and update marketing materials, presentations, brochures, flyers, and promotional content using existing templates and digital tools.
Use AI tools to assist with drafting property descriptions, marketing copy, email campaigns, research summaries, and other content.
Review and edit AI-generated content to ensure accuracy, clarity, consistency, and a professional tone before sharing or publishing.
Coordinate property images, maps, aerial imagery, and other visual assets for marketing materials.
Assist with email marketing campaigns, property announcements, and promotional activities.
Help coordinate the preparation and updating of property signage.
2. AI & Digital Tools
Use AI tools such as ChatGPT and other relevant platforms to streamline research, drafting, data organization, and repetitive administrative work.
Develop effective prompts and workflows to generate useful, accurate outputs for day-to-day tasks.
Verify AI-generated information against reliable sources rather than relying on unverified outputs.
Identify opportunities to use AI and automation to improve efficiency, reduce manual work, and support team productivity.
Learn and adapt to new software, platforms, and workflows as business needs evolve.
3. Research & Data Management
Conduct online research to gather property details, market information, comparable listings, and other relevant data.
Maintain and update internal databases, spreadsheets, contact lists, and property records.
Collect, organize, and verify information from multiple sources.
Ensure data is accurate, complete, and consistently formatted.
Identify missing information, inconsistencies, or errors and follow up as needed.
4. Listing & Administrative Support
Create and update online listings using approved information, templates, and workflows.
Maintain accurate property details, descriptions, pricing, images, and supporting documents across relevant platforms.
Prepare and organize documents using established templates.
Assist with sending documents through DocuSign and tracking signatures or outstanding paperwork.
Support the preparation of listing agreements and other brokerage documents using approved templates and instructions.
Keep marketing assets, property records, and administrative documents organized and easy to access.
Track pending tasks, follow up on outstanding items, and provide general support to the brokerage team.
Requirements
Experience in virtual assistance, administrative support, marketing coordination, research, data management, or a similar role.
Comfortable using AI tools such as ChatGPT to support research, writing, content creation, and administrative workflows.
Strong attention to detail and the ability to verify information before using or sharing it.
Good written English and the ability to produce clear, professional content.
Strong organizational skills and the ability to manage multiple tasks and deadlines independently.
Comfortable working with spreadsheets, online databases, document management tools, and web-based platforms.
Resourceful and quick to learn new software and processes.
Able to work independently in a remote environment and communicate proactively with a US-based team.
Nice to Have
Experience with commercial real estate, property management, or real estate marketing.
Familiarity with platforms such as Buildout, CoStar, LoopNet, or Crexi.
Experience with Canva or similar tools for creating marketing materials.
Familiarity with DocuSign, email marketing platforms, and CRM systems.
Experience using AI tools beyond basic prompting, including building repeatable workflows or using AI to improve productivity.
Experience coordinating property imagery, maps, aerial photos, or signage.

Prior real estate experience is welcome, but we're equally interested in candidates who can demonstrate strong digital skills, sound judgment, and the ability to deliver accurate, high-quality work.
