We are growing our team and are looking for an organized and proactive Virtual Assistant to support day-to-day administrative and operational activities across the company.
As a Virtual Assistant, you will provide remote administrative support to different members of the CareerSwift team. You will help keep information organized, maintain internal records, coordinate schedules, prepare documents, and handle a variety of recurring operational tasks.
This is a great opportunity for someone who is highly organized, comfortable working online, and interested in gaining experience in a fast-moving technology environment.
Previous experience as a Virtual Assistant is helpful, but it is not required. We are open to candidates at the beginning of their careers who demonstrate strong communication, reliability, and attention to detail.
Responsibilities
Provide day-to-day administrative support to the CareerSwift team.
Manage calendars, meetings, reminders, and basic scheduling activities.
Organize documents, spreadsheets, folders, and internal records.
Enter, update, and verify information in company systems and databases.
Prepare simple reports, documents, presentations, and spreadsheets.
Support data collection and basic research tasks.
Monitor shared inboxes and help organize incoming requests.
Assist with updating CRM records, contact lists, and internal trackers.
Coordinate information between different team members when needed.
Help prepare materials for internal meetings and follow up on action items.
Perform basic internet research and summarize findings clearly.
Support customer, operations, marketing, or recruitment teams with routine administrative tasks.
Identify missing or incorrect information and communicate issues to the appropriate team member.
Assist with other operational and administrative projects as the company grows.
What We Are Looking For

Basic proficiency with Microsoft Office or Google Workspace.

Nice to Have
Previous experience as a Virtual Assistant, Administrative Assistant, or Operations Assistant.
Experience working with CRM or project management tools.
Familiarity with tools such as Google Workspace, Microsoft Office, Slack, Notion, Trello, Asana, or similar platforms.
Experience supporting a remote or distributed team.
Interest in AI, technology, career development, or digital products.
Compensation
$38,000 - $48,000 per year, depending on experience and qualifications.
