About the Role

At Pavago, one of our clients is hiring a Property Operations Coordinator to support day-to-day property management operations, tenant communication, maintenance coordination, and vendor management across multiple markets.

This is a high-execution, hands-on operations role where you’ll serve as a key point of contact for tenants, property owners, and vendors while ensuring maintenance requests, work orders, property tasks, and documentation stay organized and on track.

What You’ll Own

Tenant, Owner & Vendor Communication

Serve as a primary point of contact for:

• Tenants
• Property owners
• Vendors and contractors

You’ll:

• Handle inbound phone calls and emails
• Communicate professionally in both English and Spanish
• Respond to questions and requests promptly
• Provide updates on maintenance and operational issues
• Escalate urgent or complex matters to the appropriate stakeholders
• Maintain clear records of important communications

Maintenance & Work Order Management

Manage maintenance requests from intake through resolution using:

• Buildium
• PropertyMeld

You’ll:

• Receive and document maintenance requests
• Triage issues based on urgency
• Create and assign work orders
• Dispatch appropriate vendors
• Coordinate scheduling and property access
• Track work order progress
• Follow up with vendors and tenants
• Ensure issues are properly documented and completed

Vendor Coordination

Coordinate with maintenance vendors and service providers across multiple properties.

You’ll:

• Schedule repairs and service appointments
• Confirm vendor availability
• Coordinate access with tenants
• Track outstanding work
• Follow up until completion
• Escalate delays or unresolved issues
• Maintain accurate vendor and maintenance records

Property Operations Support

Support recurring day-to-day property management activities, including:

• Creating and assigning operational tasks
• Coordinating property inspections
• Scheduling showings and property access
• Preparing and sending late notices
• Supporting violation notices
• Assisting with lease renewal communications
• Coordinating move-ins and move-outs
• Keeping property records and systems updated

Systems & Documentation

Maintain accurate information across property management systems.

You’ll:

• Update Buildium and PropertyMeld consistently
• Maintain tenant, property, vendor, and maintenance records
• Document communications and completed actions
• Follow established Standard Operating Procedures (SOPs)
• Maintain organized, audit-ready documentation
• Ensure operational tasks are properly tracked through completion

Process Improvement

Help identify opportunities to make property operations more efficient.

You’ll:

• Identify recurring operational issues
• Flag workflow gaps
• Recommend process improvements
• Help standardize recurring tasks
• Improve follow-up and documentation processes
• Reduce avoidable errors and escalations

Required Experience & Skills

• 2+ years of experience in property management, property operations, customer service, or a related role
• Hands-on experience with:
• Buildium — required
• PropertyMeld — required
• Fluent English and Spanish, both written and spoken
• Experience handling tenant, owner, or customer communication
• Strong phone and email communication skills
• Ability to manage high volumes of:
• Calls
• Emails
• Tasks
• Maintenance requests
• Work orders
• Strong organizational and multitasking abilities
• High attention to detail and documentation accuracy
• Ability to work remotely during U.S. business hours
