About the Role
As a Project Coordinator Senior, you will own assigned orders from sales handoff to final closeout, ensuring execution accuracy, proactive risk identification, and seamless stakeholder communication.
You will manage order details (item, pricing, shipping, ship-to details), coordinate purchase orders (POs) and design proofs with suppliers, track deliveries, resolve shipping exceptions, and serve as a core operational anchor and mentor for lower-level Project Coordinators.
What You'll Do
End-to-End Order & Project Execution
Own assigned orders throughout the entire lifecycle—from sales approval, proofing, and production to delivery, billing handoff, and order closeout.
Review order details (item, pricing, quantities, delivery dates) and escalate discrepancies prior to production to prevent errors and rework.
Manage purchase orders (POs), production schedules, and proof approvals directly with suppliers.
Track shipments, manage delivery confirmations, and resolve complex shipping exceptions or supply chain risks.
Maintain accurate order statuses, notes, and follow-up actions in NetSuite and designated internal systems.
Proactively identify and escalate risks that could impact event-dated orders, production timelines, or customer commitments.
Maintain clear communication with clients, Account Executives, Account Managers, Billing, AR, Warehouse, and Operations teams.
Leadership, Mentorship & Process Improvement
Mentor and support less-experienced Project Coordinators to ensure operational consistency across the team.
Analyze workflow friction points and drive process improvements that reduce rework and increase execution accuracy.
Provide cross-team coverage and support during peak volumes, maintaining high quality of service across accounts.
Operate with total autonomy under minimal supervision, prioritizing multiple orders and complex deadlines independently.
What We're Looking For
Required Qualifications
4–5+ years of experience in order management, project coordination, B2B customer service, logistics, or fulfillment roles.
Proven hands-on experience managing the full order lifecycle within NetSuite or similar enterprise ERP platforms.
Strong experience in supplier coordination, Purchase Order (PO) management, and artwork/proof management processes.
Demonstrated ability to identify pre-production discrepancies and proactively manage event-dated or high-risk orders.
Exceptional written and verbal English communication skills (C1/C2).
Proven ability to multi-task, manage tight deadlines, and solve cross-departmental friction (Sales, Billing, Logistics).
Experience mentoring junior coordinators, leading process improvements, or serving as a Subject Matter Expert (SME).
Preferred Qualifications
Direct experience in promotional products, custom manufacturing, or complex B2B supply chain operations.
Advanced proficiency in data tracking, reporting tools, and workflow automation.
