About the role

The PMO Coordinator provides operational, administrative, and coordination support to Project Managers and the PMO to ensure projects are executed consistently, efficiently, and in alignment with enterprise standards. This role supports project execution, tracking, communication, documentation, training coordination, and adoption of PMO tools and processes.

Key Responsibilities

Project Planning & Execution Support

• Assist Project Managers with project plans, schedules, resource allocation, kickoff preparation, team onboarding, and coordination of project dependencies.
• Monitor project milestones and deliverables to support timely completion and consistent execution.

Status Reporting & Governance

• Prepare and distribute regular status reports, dashboards, and project updates for stakeholders.
• Track project metrics, risks, issues, and action items across the project portfolio.
• Maintain project governance documentation and support compliance with PMO standards and methodologies.

Communication & Stakeholder Coordination

• Serve as a primary point of contact for change management coordination and project communications.
• Coordinate meeting schedules, prepare agendas, support discussions, and document meeting outcomes.
• Manage stakeholder communications to promote timely information flow and alignment.

Documentation & Knowledge Management

• Create and maintain project documentation, including plans, charters, status materials, and lessons learned.
• Organize and update project repositories to ensure materials are accessible, current, and consistently maintained.
• Support knowledge transfer activities and contribute to PMO best practices documentation

Training Coordination & Facilitation

• Coordinate, deliver, and track training activities for new processes, systems, and organizational initiatives.
• Assist with training material development, schedule and facilitate training sessions, and maintain training records.
• Serve as the first point of contact for basic user questions and support related to new tools, processes, and solutions.
• Partner with Project Managers, the Change & Enablement Lead, and business stakeholders to support user adoption and knowledge transfer.

Tool & Process Support

• Administer project management tools and platforms used by the PMO.
• Support implementation and adoption of project management methodologies, templates, and processes.
• Provide training and guidance to team members on PMO tools and standard operating procedures.

Required Qualifications

• 3-5 years of experience in consulting, administrative support, project coordination, or a related role.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Miro.
• Experience with project management tools such as Asana, Monday.com, or similar platforms.
• Familiarity with knowledge management systems such as Confluence, Guru, Notion, or Zendesk.
• Exposure to data visualization tools such as PowerBI, Tableau, Snowflake, or Collate.
• Excellent written and verbal communication skills with the ability to interact professionally across all organizational levels.

Preferred Qualifications

• Previous experience working within a Project Management Office or supporting multiple concurrent projects across teams.
• Bachelor’s degree in Business Administration, Technology Management, Project Management, or a related field.
• Agile Certified Practitioner (PMI-ACP), Certified Change Management Professional (CCMP), SAFE Lean Portfolio Management (LPM), or equivalent project management certification.
• 2+ years of experience in the technology or insurance sector, or a similar fast-paced industry environment with exposure to the software development lifecycle.

• Strong process orientation with a commitment to consistency, structure, continuous improvement, and PMO best practices.

Work Environment & Collaboration

• Support multiple projects simultaneously in a collaborative, fast-paced, 100% remote work environment.
• Partner daily with Project Managers, team members, and stakeholders across departments and organizational levels.
• Demonstrate strong self-management skills and proficiency with virtual collaboration tools.
• Maintain flexibility to accommodate project needs, including occasional work outside standard business hours for critical deadlines or global team coordination.
• Contribute to a PMO culture focused on continuous learning, knowledge sharing, and professional development.

Additional Information

This is a remote position. Planned, in-office activities may be required on occasion (typically 2-4x per year).
