Operations Coordinator for a Food and Beverage Brand in the US

About the Role

We are a fast-growing food and beverage brand looking for a highly organized and detail-oriented Operations Coordinator to take ownership of order fulfillment and customer operations. This role is ideal for someone who is highly reliable, proactive, and comfortable taking full ownership of operational tasks from start to finish — with the opportunity to expand into freight management and broader operational responsibilities over time.

Work Structure & Requirements

• Location: Remote / Virtual
• Schedule: Part-time (20+ hours per week)
• Time Zone: PST business hours
• Compensation: $10 USD per hour

Key Responsibilities

1. Order Fulfillment & Customer Operations

• Own end-to-end order processing and fulfillment across retail and wholesale customers
• Review orders for quantities, pricing, ship dates, delivery requirements, and other key details; verify against finished goods inventory to confirm sufficient stock and shelf life
• Respond to orders across relevant systems (e.g., email and SPS Commerce) — confirming orders, requesting changes when needed, and generating Advance Ship Notices (ASNs)
• Enter and maintain orders in internal systems, including assigning and tracking lot codes
• Submit orders to warehouses for fulfillment
• Monitor orders from receipt through delivery and proactively resolve issues
• Reconcile BOLs against purchase orders when shipments are released; ensure correct lot codes and inventory are assigned to each shipment and troubleshoot discrepancies
• Maintain organized records of orders, BOLs, shipment confirmations, and delivery documentation
• Support retailer and customer requests related to orders, shipping, and documentation

2. Freight & Logistics Coordination

• Book and coordinate freight, communicating with freight brokers and 3PL partners
• Schedule pickup and delivery appointments
• Track shipments and proactively flag delays, missed appointments, or delivery issues
• Maintain shipment tracking and proof-of-delivery records
• Help resolve freight claims, shortages, damages, or delivery discrepancies

3. Broader Operations Support

• Maintain accurate finished-goods inventory records and help identify potential stock-outs or excess inventory
• Support supply and demand planning using historical sales, retailer forecasts, and upcoming production requirements
• Coordinate with 3PLs, warehouses, vendors, and other operational partners on open issues and inbound/outbound inventory movements
• Maintain clear operational trackers, SOPs, and reporting across orders, inventory, freight, and outstanding issues

Required Skills & Experience

• Experience: 3+ years in CPG operations, supply chain, order management, logistics, or a related role; previous experience within food, beverage, grocery, or another physical CPG category is strongly preferred
• Order Management: Hands-on experience processing purchase orders and coordinating fulfillment; experience working with 3PLs, warehouses, freight providers, distributors, and retailers
• Inventory: Strong inventory management and reconciliation skills; experience reviewing BOLs, shipping documentation, and lot-level inventory
• Systems: Experience working in SPS Commerce; strong Excel or Google Sheets skills
• Communication: Excellent written and spoken English
• Profile: Exceptional attention to detail, highly reliable, organized, and responsive; able to manage time-sensitive operational issues and follow tasks through to completion; proactive in identifying discrepancies and escalating issues when required
