Summary:

We are a leading outdoor hospitality franchisor headquartered in Billings, Montana, operating a network of roughly 500 campgrounds across the United States and Canada under the brand “KOA”. About 90% of those campgrounds are franchised and approximately fifty are company operated. We are in the second half of a NetSuite OneWorld implementation that moves campground operations from cash-basis to accrual-basis accounting and automates daily posting from our proprietary K2 property management system into NetSuite through an analytics warehouse data pipeline. We are seeking a full-time NetSuite Administrator to join now, learn the solution alongside our implementation partner, and own the environment through go-live and beyond. This is a hands-on role supporting an accounting-driven, integration fed ERP rather than a traditional retail order-to-cash environment.

Remote (U.S.) or in-person. Candidates within reasonable travel distance of the Billings, Montana headquarters, or willing to travel there periodically, are preferred.

Essential Duties and Responsibilities:

• Implementation Ramp-Up: Come up to speed quickly on the company, the functional design, and the technical design documents; partner with the implementation team through configuration, UAT, cutover, and go-live; own roles, permissions, and security protocols as the environment transitions to internal ownership.
• System Administration & Support: Manage day-to-day administration, user permissions, saved searches, custom reports, financial dashboards, and end-user support ticketing.
• Daily Integration Operations & Reconciliation: Monitor the automated daily and weekly posting pipeline that generates journal entries, customer invoices, credit memos, and statistical journal entries; investigate failed or out-of-balance batches, verify clearing account nets, and manage re-run and reprocessing procedures against a Mountain-time daily cutoff.
• Mapping & Configuration Maintenance: Maintain the integration mapping tables that resolve campground, revenue category, department, fee type, and tax type values to the correct subsidiary and GL accounts, and manage additions as campgrounds open, close, or change ownership.
• Franchise Billing & Revenue Recognition: Support weekly franchise royalty invoicing and credit memos, advertising fund contributions, and rewards revenue splits; administer Advanced Revenue Management, including item-level revenue recognition rules, revenue arrangements and plans, deferred revenue roll forward, and the exception searches that catch missing recognition dates.
• Workflow & Automation: Design and maintain SuiteFlow workflows, custom fields, forms, and records to streamline accounting, procurement, expense, and campground back-office operations.
• Integrations Management: Monitor and maintain seamless data flows between NetSuite and connected systems, including the K2 property management system, the analytics warehouse pipeline, payment processing and OTA settlement feeds, expense management, and franchise systems.
• Reporting & Analytics: Build and maintain financial and operational reporting, including statistical measures such as site nights by accommodation type, occupancy, and average daily rate, and support analytics delivered from the warehouse layer.
• Governance & Training: Create process documentation, conduct end-user training across department teams, and manage biannual NetSuite release updates and sandbox testing.

Required Education and Experience:

• NetSuite Expertise: 3-5+ years of hands-on NetSuite administration experience, ideally in a full-time capacity within a multi-subsidiary (OneWorld) environment. Franchise, hospitality, or multi-unit operator experience is strongly preferred.
• Accounting & Multi-Subsidiary Background: Strong command of core accounting concepts (GL, AP/AR, chart of accounts, accruals and deferrals) plus practical experience with multi-subsidiary structures, intercompany activity, consolidation, and U.S./Canada multi-currency operations. ERP implementation or go-live experience preferred.
• Revenue Recognition: Working knowledge of NetSuite Advanced Revenue Management — revenue recognition rules, arrangements, plans, and deferred revenue reporting — or a strong revenue accounting foundation and demonstrated ability to ramp quickly into ARM.
• Integration Operations: Comfort supporting a system where most transactions arrive from an automated, auto-approved integration; ability to triage batch failures, reconcile automated postings, and work alongside data and integration teams rather than keying transactions. Direct experience is preferred; a demonstrated ability to learn a complex integrated environment quickly preferred.
• Technical Skills: Advanced proficiency in SuiteFlow, Saved Searches, Custom Records, and CSV import and data tools. Basic SuiteScript knowledge is a plus. The environment includes scripted automations and custom records, so what matters most is the ability to read script execution logs, triage errors, and knowledgeably support developers who extend the design — reading or writing code is a nice-to have, not a requirement. Experience with SuiteAnalytics, NetSuite Analytics Warehouse, or SQL is a strong plus; iPaaS experience (Celigo, Boomi) is useful but secondary.
• Domain Knowledge: Familiarity with franchise or multi-unit business models — royalty and advertising fund billing, franchisee receivables, property-level reporting, and high-volume summarized daily activity. Hospitality, property management, or campground/park operations exposure is a plus.
• Working Style: Able to learn a complex environment quickly and work effectively as a remote, fully dedicated member of the team. This is a single, full-time commitment, not a shared or fractional engagement.

Preferred Education and Experience:

• NetSuite Administrator Certification (SuiteFoundation or Administrator) is highly desirable.
• Bachelor’s degree in information systems, business systems, accounting, or a related field.
• Familiarity with Concur Expense, Concur Invoice, and asset management systems.

Physical Demands and Working Conditions:

• Work is performed in an office environment and requires the ability to operate standard office equipment, including lifting and carrying a laptop and other small items up to 20 pounds.
• Prolonged exposure to computer screens and artificial lighting.
• Use of repetitive motion, standing, bending, sitting, lifting, and walking short distances.
• May be expected to drive a vehicle to KOA locations, other locations as directed, and conferences which requires close and distance vision, sitting, seeing and reading signs, traffic signals, other vehicles, etc. Travel occurs in all weather conditions, including extreme heat and cold.
• Frequent in person interaction with KOA employees in various settings, where noise level is typically low to moderate, including office spaces.
• Will experience occasional interruptions and shifting priorities.
