About the Role

We are looking for a reliable, detail-oriented, and persistent Medical Document Retrieval Specialist to join our fully remote team.

You will contact healthcare providers, follow up on document requests, maintain accurate records, and help ensure requests are completed on time.

No prior medical records retrieval is required. We provide training on the role, processes, and tools.

Experience in medical or healthcare support, collections, call centers, customer service, administrative support, account follow-up, or other high-volume roles is valuable, but not required. We are primarily looking for strong communication, organization, persistence, and a willingness to learn.


What You'll Do

• Contact healthcare providers by phone and other communication channels.
• Follow up on outstanding requests and track them through completion.
• Maintain accurate information and documentation in internal systems.
• Review documents for completeness and accuracy.
• Identify issues that may delay requests and determine appropriate next steps.
• Manage multiple requests while keeping track of deadlines and details.
• Communicate clearly and professionally with provider offices and internal teams.
• Learn and use new tools, systems, and processes.
• Follow established procedures and contribute feedback to improve workflows.

Relevant Experience

Previous experience is not required, but experience in the following areas may be helpful:

• Medical or healthcare support
• Collections or accounts receivable
• Call center or customer service
• Administrative or back-office support
• Customer or account follow-up
• Insurance or healthcare support
• Scheduling or appointment coordination
• Other high-volume roles involving phone calls, documentation, or follow-up

Training

You will receive training on our medical document retrieval processes, provider communication procedures, internal tools, documentation requirements, and workflows.

• Requests are followed up on consistently and completed within expected timelines.
• Information and documentation remain accurate and organized.
• Provider communication is professional and effective.
• Multiple requests are managed without losing track of details.
• Issues are identified and addressed promptly.
• Processes and tools are learned and applied consistently.
