About the Role

We are seeking a proactive, mission-driven Marketing Assistant (Virtual Assistant) to join a small team supporting an established author, speaker, and coach. This position is a true creative partnership—you will own podcast production, social media execution, and marketing operations as the brand prepares for an upcoming book launch.

What You'll Be Doing

1. End-to-End Podcast Production & Distribution

Audio & Video Editing: Edit raw podcast media into polished, high-quality audio and video assets within standard turnaround timeframes.
Brand Compliance: Implement audio chimes, intros/outros, graphic overlays, lower thirds, and brand visual guidelines accurately across all media.
Publishing & Copywriting: Draft clear episode titles, descriptions, and thumbnail copy. Manage episode uploads, show notes, and scheduling across podcast host platforms, YouTube, and Kajabi.
Quality Assurance: Conduct rigorous self-reviews before publication to ensure flawless visual and audio standards.

2. Social Media Management & Content Strategy

Platform Management: Oversee daily/weekly posting, scheduling, and community engagement across LinkedIn, Instagram, and Substack using a structured content calendar.
Content Repurposing: Convert podcast episodes into short-form video clips/reels, carousel graphics, event flyers, and promotional copy using Canva.
Audience Engagement & Substack: Respond to comments using brand-approved guidelines. Manage Substack publishing cadences, research challenge formats, and propose paid content strategies.

3. Website, Kajabi & Campaign Execution

Launch & Campaign Support: Execute marketing campaigns for an upcoming book launch, workshops, and program rollouts across email and social media.
Kajabi & Web Maintenance: Build and update landing pages, maintain course materials, and format/schedule newsletters via Kajabi.
Media Tracking & Asset Management: Maintain a media pitch tracker for press outlets and podcasts while securely organizing digital brand assets and credentials.

4. Analytics & Reporting

Performance Tracking: Use spreadsheets and workflow checklists to maintain operational momentum and deliver weekly/monthly performance snapshots (podcast downloads, email open rates, and social engagement).

What We're Looking For (Non-Negotiables)

3–5 Years Experience: Proven track record in a marketing, content creation, or VA role with hands-on experience in podcast editing (audio and video) and social media management.
Personal Brand Alignment: Experience supporting an author, speaker, or coach, with a deep understanding of personal brand dynamics and standards.
Essential Tool Stack:
- Audio/Video Editing: Descript, Adobe Premiere, Audition, or equivalent production software.
- Platform Management: Hands-on experience with LinkedIn, Instagram, Substack, YouTube, and Kajabi.
- Design: Advanced Canva skills with a keen eye for brand consistency.
Proactive & Detail-Oriented: Exceptional time management, high ownership of deadlines, and the ability to work independently without inflated production hours.
