Maintenance Specialist

We are seeking an organized, proactive, and detail-oriented Maintenance Specialist to join our growing remote team. In this role, you will serve as the primary liaison between tenants, property owners, and third-party vendors. You will manage incoming maintenance requests from start to finish, ensuring repairs are diagnosed accurately, scheduled promptly, and completed to high quality standards—all while operating in a fully digital environment.

Key Responsibilities

Request Management & Triage

• Receive, evaluate, and prioritize maintenance requests submitted through our online portal or communications channels.
• Troubleshoot basic maintenance issues remotely with tenants to resolve minor problems quickly or accurately identify vendor requirements.
• Assign tasks to qualified third-party contractors, technicians, and local service providers based on urgency, trade specialty, and scope.

Vendor & Operations Coordination

• Source, vet, and maintain active relationships with reliable local vendors and contractors (plumbers, electricians, HVAC technicians, general handymen, etc.).
• Request, compare, and negotiate quotes for repairs and larger property improvement projects.
• Dispatch technicians and track work order progress from initial intake through final completion and invoice verification.

Communication & Customer Service

• Maintain clear, timely, and empathetic communication with tenants regarding the status of their repair requests.
• Keep property owners informed about property conditions, repair progress, and maintenance expenses requiring approval.
• Follow up with tenants after repair completion to ensure satisfaction and quality control.

Documentation & Administrative Support

• Maintain precise documentation, photos, vendor invoices, and maintenance logs within our digital software system.
• Review vendor invoices for accuracy and approve them for payment in accordance with budget guidelines.
• Identify recurring property issues and recommend proactive preventative maintenance measures.

Qualifications & Skills

• Strong Technical Aptitude: Understanding of residential systems (HVAC, plumbing, electrical, appliances, carpentry) to effectively diagnose issues and communicate with vendors.
• Customer Service Excellence: Strong interpersonal skills with a commitment to providing helpful, professional communication to tenants and owners.
• Problem-Solving Skills: Ability to analyze situations remotely, think critically under pressure, and find quick, cost-effective solutions.
• Organizational & Multitasking Skills: Capability to handle multiple ongoing work orders, prioritize urgent issues, and maintain attention to detail.
• Remote Work Readiness: Comfortable working independently, managing time effectively, and utilizing digital communication tools (Slack, email, phone software, and task management platforms).
• Software Proficiency: Familiarity with digital management tools, spreadsheets, and cloud-based platforms.

WARNINGS:

• Working schedule from Monday to Friday from 8:30 am until 5:00 pm EST.
