About the Role

Seamless Assist places AI-fluent virtual assistants with growing businesses and builds the automation systems they run. We are hiring a GoHighLevel Specialist on behalf of our client, a US-based gym business. This is a fully remote role open to candidates worldwide.

The gym runs its lead follow-up, trial bookings, member communication, and retention campaigns through GoHighLevel. This hire owns that platform end to end — building the automations that drive memberships and supporting the owner and front-desk team who use it every day.

Role Overview

Every lead, trial, and member touchpoint at the gym runs through GoHighLevel. The GHL Specialist will design and maintain those systems — from the first ad inquiry to the membership renewal — and provide responsive, first-line support to the gym owner and staff.

This is a hands-on role for someone who can move between building and supporting in the same day: fixing a broken trial-booking workflow in the morning, walking the front desk through the pipeline after lunch, and documenting both so it doesn't happen twice. The right person treats every support request as a signal of what to systematize next.

Key Responsibilities

GHL Automation & Build

• Build and maintain lead nurture workflows — speed-to-lead SMS/email, trial class and intro session booking, and follow-up for leads who don't book
• Automate the member journey — class and appointment reminders, no-show follow-up, new-member onboarding, and milestone check-ins
• Run retention and reactivation campaigns — lapsed and frozen members, expiring memberships, failed payments, and win-back offers
• Set up and manage pipelines, calendars, forms, surveys, landing pages/funnels, custom fields, and tags
• Build and send email and SMS campaigns — promotions, challenges, events, and monthly member newsletters
• Automate review requests and referral campaigns to grow the gym's reputation
• Integrate GHL with the gym's management software, payment tools, and ad lead sources (Facebook/Instagram lead forms) via native integrations, Zapier, Make, n8n, or webhooks

Customer Support

• Serve as first-line GHL support for the gym owner and front-desk/sales staff
• Manage and respond to member and lead inquiries in the GHL Conversations inbox (SMS, email, social DMs) within agreed response times
• Troubleshoot issues: broken workflows, failed sends, calendar sync errors, A2P/10DLC and email deliverability problems, integration failures
• Train gym staff on using GHL — pipelines, conversations, booking, and reporting — through live walkthroughs and short recorded videos
• Escalate billing, platform-level bugs, or out-of-scope requests to the gym owner with a clear summary

Reporting, Documentation & Improvement

• Build dashboards that track leads, trial bookings, show rates, conversions to membership, and retention
• Write SOPs and how-to guides for every recurring build and support issue
• Audit the account for broken, duplicate, or unused workflows and recommend clean-up
• Track recurring issues and propose automations or fixes that remove them at the source
• Use AI tools to speed up campaign copy, troubleshooting, and documentation

• Systems thinker who documents as they go and hates fixing the same problem twice
• Takes initiative — spots what is broken or missing and raises it before the owner does

Experience & Skills

Required

• GHL expertise: 2+ years of hands-on GoHighLevel experience building workflows, pipelines, funnels, and campaigns for live businesses
• Customer support: 1+ year providing customer or technical support (tickets, live chat, calls, or client success)
• Integrations: Working knowledge of Zapier, Make, n8n, or webhooks to connect GHL with other tools
• AI fluency: Actively uses AI tools (Claude, ChatGPT, Gemini) to build, write, and troubleshoot faster — specific tools and use cases confirmed at screening
• Time zone compatibility: Able to work US Eastern Time (EST) business hours from wherever you are based
• Strong communication: Exceptional written and spoken English — clear, friendly, and concise with owners, staff, and members; assessed at screening
• Deliverability: Understanding of email and SMS deliverability, including A2P 10DLC registration
• Remote setup: Reliable high-speed internet and a dedicated workspace

Preferred

• Experience with gyms, fitness studios, or other membership-based businesses
• Experience with gym management software (Mindbody, ABC Glofox, PushPress, Zen Planner, or similar)
• GHL Admin certification
• Familiarity with GHL Conversation AI / AI Employee features
• Experience running Facebook/Instagram lead-gen campaigns into GHL
