About this role
Operations Coordinator
About the Role
We are a fast-moving food and beverage startup developing coconut-based beverages and nutrition products for global markets. Our first consumer brand is launching in Q4 2026, and we're looking for an Operations Coordinator to take day-to-day execution off the CEO's plate — keeping suppliers, purchasing, logistics, and projects moving to deadline.
This role is ideal for someone who is highly organised, follows through without being chased, and is comfortable working in a lean, startup environment where things move fast.
Work Structure & Requirements
- Location: Remote (Manila-based preferred, with occasional in-person meetings in Manila)
- Schedule: Part-time (with potential to move to full-time) - 20 hours per week
- Time Zone: PHT (Philippine Time)
- Compensation: $8 USD per hour
Key Responsibilities
1. Supplier & Vendor Management
- Manage day-to-day communication with co-packers and ingredient suppliers
- Track samples, quotes, specifications, and compliance certificates (COAs, halal, food-safety)
2. Purchasing & Order Management
- Draft purchase orders for CEO sign-off and track orders through to delivery
- Match invoices to POs and maintain accurate purchasing records
3. Logistics Coordination
- Liaise with freight forwarders to coordinate freight, customs, and cold-chain delivery
- Ensure order details and documents are submitted on time; track shipments and flag delays early
4. Production Tracking
- Monitor production runs, lead times, and stock levels against the launch plan
- Keep relevant stakeholders informed of any issues or changes
5. Regulatory Admin
- Prepare and track paperwork for product registration and import permits (e.g. FDA Philippines)
- Maintain accurate records across supplier, order, and shipment trackers
6. CEO Support & Follow-Through
- Chase actions and deliverables from meetings
- Prepare a weekly status report for the CEO
- Keep projects moving and escalate blockers proactively
Required Skills & Experience
- Operations/Supply Chain Experience: 3+ years in operations, supply chain, or purchasing — food & beverage or FMCG experience strongly preferred
- Import/Export Knowledge: Familiarity with import/export documentation and working with freight forwarders is essential
- Communication: Clear written and spoken English for supplier and stakeholder correspondence
- Tech: Confident with spreadsheets and Google Workspace
- Work Style: Highly organised, detail-oriented, and follows through without needing to be chased
- Remote Experience: Comfortable working independently in a remote setup
Bonus Points
- FDA Philippines product registration experience
- Experience working with suppliers in Vietnam or ASEAN
- Cold-chain logistics experience
