Contract Specialist

POSITION PURPOSE

The Contract Specialist plays a critical role on the Contracts and Procurement team, which partners with the business to manage risk across a broad range of commercial and corporate agreements in a fast-paced, global environment. The Contract Specialist manages low-risk contracts through the full contract lifecycle, supports vendor onboarding, and helps administer YPO's contract lifecycle management (CLM) system. Working closely with the contracts team, internal stakeholders, and external vendors, this role helps keep contracts moving efficiently, accurately, and in line with YPO standards.

PRIMARY RESPONSIBILITIES

• Manage low risk, low dollar contracts through the entire contract lifecycle following YPO standards and service requirements.

• Administration and maintenance of Contract Lifecycle Management software system.

• Assist contract team in writing summaries, information gathering, and obtaining W-8 and W-9 from potential vendors.

• Ensure all YPO logo agreements are approved by the marketing team.

• Maintain contract file storage in accordance with policies and procedures.

• Contribute to internal training and education on the contract lifecycle and contracting processes.

• Manage CLM support tickets, troubleshoot user issues, and escalate when appropriate.

• Support CLM system training and provide ongoing guidance to business users.

• Support continuous improvement, testing, enhancement, and documentation of CLM workflows and processes.

• Provide administrative support to the department as needed.

• Provide backup support for Procurement Specialist when necessary.

• Complete ad hoc reports, tasks and projects as required.

EXPERIENCE/BACKGROUND

• 3+ years’ experience in contract administration, procurement or business operations. .

• Working knowledge of contract principles, terms, and the contract lifecycle.

• Exceptional organizational skills and attention to detail, with the ability to manage a high volume of contracts and deadlines.

• Strong administrative skills.

• Excellent customer and stakeholder service skills, supporting both internal business users and external vendors.

• Excellent written and verbal communication skills.

• Proficient in Microsoft Office Suite or similar software.

• Experience with a contract lifecycle management (CLM) system, including system administration or user support, highly preferred.

EDUCATION/TRAINING/CERTIFICATION

• Bachelor’s degree or related equivalent work experience.

PHYSICAL REQUIREMENTS

• Ability to work flexible and/or extended hours as needed to accommodate team members and stakeholders in multiple time zones.

• Willingness and ability to travel, domestically and internationally, without restrictions,0-5% per year.

• Prolonged periods sitting at a desk and working on a computer.

Compensation ranges are based on the associate's primary work location. Because this role may be filled in more than one country, the applicable ranges are listed below by location:

For US applicants: USD 66,600–84,900 annually

For Canada applicants: CAD 57,900–73,800 annually
