Our client is an established Australian civil construction and infrastructure business based in Sydney, New South Wales, specialising in excavation and utilities work. The business is restructuring its internal administration and is looking to add dedicated offshore capability to
support its records management, quality assurance, compliance and general administration functions.
This is intended to be a long-term role within the team, supporting the Australian operation and helping keep records accurate, organised and audit-ready as the business continues to deliver its project workload.
JOB SUMMARY:We are seeking an experienced Administration & QA Officer to provide broad administrative support across records management, quality assurance, compliance tracking, fleet and plant administration, project onboarding and the company's Facebook page.
The successful candidate should have previous experience working within a construction or similar project-based business and an understanding of quality management processes. The position requires strong organisation, accuracy and confidentiality, and the ability to follow
established processes while taking ownership of recurring administrative responsibilities.

KEY RESPONSIBILITIES:
Records Management & Quality Assurance
- Follow the company's Quality Management System and associated QA processes.
- Maintain organised records for employee onboarding, training, medical and emergency contact details.
- Keep documentation audit-ready, so the business can show an auditor the process, how it is followed and where each record is kept.
- Ensure documentation is stored accurately and can be readily retrieved when required.
- Track ticket, licence and training expiry dates in Assignar.
- Notify workers ahead of expiry (typically two to four weeks out) and follow up until renewed.
- Maintain compliance registers and track outstanding compliance items.
- Maintain the calendar for plant and vehicle registrations, scheduled servicing, maintenance and repairs.
- Coordinate upcoming registrations and servicing so nothing lapses.
- Keep service and maintenance records ready to demonstrate compliance during audits.
- Coordinate onboarding of workers when the business commences a new job.
- Onboard personnel onto client project portals (such as Aconex, Pegasus or 3DS) using the client's training manuals.
- Collect and organise dockets, safety paperwork and toolbox talk records through Assignar.
- Post job ads and updates on the company Facebook page using existing templates.
- Monitor enquiries received through Facebook, including employment and referral enquiries, and pass them to the right people.
- Prepare simple graphics in Canva where required.
- Provide general administrative support across the business.
- Maintain organised electronic records and documentation.
- Coordinate information between relevant internal stakeholders.
- Take ownership of allocated administrative tasks through to completion.
Requirements
- Previous administration experience within a construction business or similar project-based environment.
- Understanding of quality assurance processes and Quality Management Systems.
- Experience maintaining compliance documentation, registers and expiry tracking.
- Strong document management and record-keeping skills.
- Experience managing a business Facebook page, job ads and enquiries.
- Proficiency in Microsoft Excel and Word.
- Experience with Assignar or similar construction workforce software is highly regarded.
- Exposure to client project portals such as Aconex is highly regarded.
- Canva skills are an advantage.
- High attention to detail and accuracy.
- Strong written and verbal English communication skills.
- Ability to work Australian business hours.
- Highly organised and dependable.
- Accurate and detail-focused.
- Comfortable handling confidential employee and business information.
- Proactive in following up missing information and upcoming expiries.
- Capable of managing recurring deadlines and responsibilities.
- Comfortable communicating with Australian-based colleagues and site teams.
