Position Overview

A HR/Payroll partner is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide direct support to the Vice President. This role will focus on streamlining communications, coordinating priorities, tracking action items, and ensuring timely follow-through across internal teams and key business initiatives.

Key Responsibilities

• Communication Management: Assist with organizing emails, communications, meeting notes, and important updates to ensure priorities and requests are addressed timely.
• Task & Project Tracking: Maintain an organized tracking system for assignments, deadlines, outstanding action items, and key initiatives.
• Team Follow-Up & Accountability: Proactively follow up with team members on outstanding deliverables, provide status updates, and escalate potential delays or concerns.
• Meeting Coordination: Assist with scheduling meetings, preparing agendas, documenting action items, and coordinating follow-up communications.
• Executive Support: Help the Vice President organize daily priorities, manage competing deadlines, and stay ahead of important commitments.
• Cross-Functional Coordination: Serve as a liaison with internal departments to help keep communications, projects, and operational priorities moving forward.

Ideal Qualifications

• Strong organizational skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Proactive, resourceful, and comfortable following up with individuals at all levels.
• Ability to manage multiple priorities while maintaining confidentiality and professionalism.
• Proficiency in Microsoft Outlook, Teams, Excel, and other Microsoft 365 tools.

Overall Goal

To provide dependable, proactive administrative support that allows the Vice President to focus on strategic leadership, client relationships, and business growth while ensuring day-to-day communications, commitments, and follow-through remain organized and on track.
