Real Estate Operations Coordinator – Property Management, Leasing & Tenant Coordination

About the Role

At Pavago, one of our clients is hiring a Real Estate Operations Coordinator to support the day-to-day operations of residential and commercial property portfolios.

This is a hands-on operations role focused on tenant communication, leasing, maintenance coordination, property management systems, and owner reporting.

You’ll work closely with tenants, vendors, property owners, and internal teams to keep property operations organized, responsive, and running smoothly.

What You’ll Own

Tenant & Leasing Coordination

• Respond to tenant inquiries regarding rent, leases, maintenance, and property policies
• Process leases, renewals, applications, and tenant onboarding documentation
• Send rent, renewal, and compliance reminders
• Maintain accurate tenant files and signed documentation
• Support property listings across Zillow, Apartments.com, MLS, and similar platforms

Property Management Systems

• Maintain accurate records in Yardi, AppFolio, Buildium, or similar platforms
• Track rent collections, delinquencies, occupancy, vacancies, and late fees
• Maintain rent rolls, occupancy trackers, and operational reports
• Keep tenant and property records accurate and up to date

Maintenance & Vendor Coordination

• Create and assign maintenance work orders
• Coordinate scheduling between tenants and vendors
• Track maintenance requests through completion
• Follow up proactively on outstanding issues
• Verify vendor invoices against completed work

Owner Reporting & Operations

• Prepare owner statements, occupancy reports, vacancy updates, and operational summaries
• Provide visibility into rent collections, leasing activity, and open maintenance issues
• Ensure reporting is accurate and delivered on time

Documentation & Compliance

• Maintain organized, audit-ready property documentation
• Support compliance with Fair Housing requirements, lease procedures, and applicable landlord-tenant regulations
• Ensure applications, inspections, agreements, and tenant records are properly maintained

Requirements

• 2+ years of experience in property management, leasing coordination, real estate operations, or property administration
• Hands-on experience with Yardi, AppFolio, Buildium, or similar property management software
• Experience with leasing documentation and tenant communication
• Understanding of rent collection and maintenance workflows
• Strong Microsoft Office and Google Workspace skills
• Excellent written and verbal English communication
• Strong organization, attention to detail, and follow-through
• Comfortable working remotely during U.S. business hours

Nice to Have

• Experience supporting portfolios of 100+ units
• Residential, commercial, or mixed-use property experience
• Multi-state property management exposure
• Familiarity with DocuSign or Dotloop
• Experience with security deposits, owner statements, trust accounting, or property accounting workflows
